RP Technologies ("we," "our," or "us") is dedicated to safeguarding user privacy and data security. This comprehensive Privacy Policy governs the collection, processing, and protection of data across the RP Technologies ERP suite and all published mobile applications, including:
Campus ERP for Nursing & Allied Health Sciences Colleges.
Education ERP for Schools & Colleges.
Hospital Management, Pharmacy & Clinical EMR.
Institutional Staff, Academics & Student Portals.
2. Common Device Capabilities & Institutional Data Scope
Unified Standards across Yashoda Institutions, VedCampus, HealthHMS, SVM Arohan & RKMCampusAll applications in the RP Technologies ecosystem—including Yashoda Institutions, VedCampus, HealthHMS, SVM Arohan, and RKMCampus—operate under unified, stringent privacy standards tailored for educational campuses, healthcare facilities, and corporate institutions:
Location access is requested only while the app is in foreground use to verify that clinical staff, faculty, or students are within assigned institutional boundaries during attendance markings. We do NOT track location continuously or outside duty hours.
Camera access is used strictly for student/staff profile verification, attendance check-in scanning, and uploading academic assignment or clinical duty documents. Photos are not used for advertising or shared externally.
Clinical duty rotations, patient simulation records, exam scores, and fee payment receipts are stored securely within isolated tenant database partitions with role-based access controls (RBAC).
User profiles and academic/clinical histories are never sold, rented, or shared with commercial advertising brokers. Data is accessible solely to authorized institutional administrators and the respective user/parent.
3. Geofencing & Location Coordinates
Our mobile applications (Yashoda Institutions, VedCampus, SVM Arohan, HealthHMS, and RKMCampus) collect precise geographic coordinates (latitude and longitude) exclusively under the following transparent conditions:
- Foreground Punch Events Only: Coordinates are captured at the precise moment a user taps "Check In" or "Check Out" to validate presence within the organization's geofence boundary.
- No Background Surveillance: We do NOT monitor, record, or track user locations outside scheduled shift/class hours or when the application is closed.
- Anti-Spoofing & Integrity: Fake GPS and mock location telemetry are detected at point-of-punch to ensure authentic compliance audits.
4. Biometric Facial Recognition & Camera Usage
For organizations utilizing our Face Recognition Kiosk and mobile attendance scanning:
• On-Device Normalized Embeddings: Facial images are processed to extract non-reversible 512-dimensional mathematical feature vectors (L2-normalized embeddings). Raw facial photographs are never used for commercial scanning or sold to third-party brokers.
• Isolated Biometric Templates: Templates are stored in tenant-isolated encrypted tables (`BiometricTemplate`) restricted strictly to the user's active organization ID, preventing cross-organization identification.
5. Compliance with DPDP Act, 2023 (India)
In adherence to the Digital Personal Data Protection Act, 2023 of India, all users are guaranteed the following statutory protections:
Notice of processing purpose prior to data collection with clear consent.
Edit and correct personal profile and contact details directly in app profile.
Request complete account deletion and data anonymization at any time.
6. Data Retention & Account Deletion Policy
Retention Durations: User accounts and academic/employment profiles remain active for the duration of the organization's enterprise subscription. Geofence punch coordinates are retained for 180 days for auditing purposes before automated purging.
Users of Yashoda Institutions, VedCampus, or any RP Technologies app may submit an account deletion or data erasure request by emailing our data protection desk at [email protected] with the subject line "Account Deletion Request". We verify identity and complete data removal within 30 days.
